KAMBU TOURS-TERMS AND CONDITIONS
Luxury Private Safari Experiences in Uganda and East Africa
1. Introduction.
These Terms and Conditions govern all safari tours, travel arrangements, accommodation bookings, transport services, and related experiences provided by Kambu Tours (“we”, “our”, “us”).
By confirming a booking, paying a deposit, or participating in any itinerary arranged by Kambu Tours, you (“the Client”) agree to be legally bound by these Terms and Conditions.
2. Luxury Safari Booking Confirmation.
A booking is only confirmed once:
A deposit has been received, and a written booking confirmation has been issued by Kambu Tours.
All safari arrangements are subject to availability at the time of confirmation, including lodges, permits, and transport.
3. Deposit and Payment Policy.
To secure a safari booking, the following payment structure applies:
-Standard Safaris: 30 percent deposit required upon booking confirmation
70 percent balance due 30 days before arrival
-Luxury or High Value Safaris: 40 percent deposit required upon booking confirmation
60 percent balance due 45 days before arrival
-Gorilla and Chimpanzee Permits: 100 percent payment required at the time of booking
Permits are strictly non-refundable once issued by the authorities.
Important Notes: Late payments may result in cancellation of services. Bank charges and transfer fees are borne by the Client. Prices are subject to currency fluctuations and supplier adjustments before full payment
4. Pricing Policy: All prices are quoted in USD unless otherwise stated.
Prices may change due to:
- Government tax adjustments
-Park fee revisions
-Fuel price fluctuations
-Lodge or supplier rate changes
- Exchange rate movements.
Unless explicitly stated, prices exclude:
Visas and travel insurance
-Personal expenses
-Alcoholic beverages
-Tips and gratuities, and Optional activities not listed in the itinerary.
5. Safari Permits and Third Party Services: Many safari experiences depend on permits issued by Uganda Wildlife Authority and other authorities.
All permits are subject to availability. Permit rules are strictly enforced and non-negotiable.
Third-party suppliers operate under their own conditions
Kambu Tours is not responsible for permit refusal, delays, or regulatory changes
6. Client Responsibilities: To ensure a safe and enjoyable safari experience, the Client agrees to:
-Hold valid passports, visas, and travel documents.
-Comply with health and vaccination requirements
-Follow the guide and ranger instructions at all times
-Respect wildlife, local communities, and conservation rules
-Avoid unsafe, illegal, or disruptive behavior
The Client is responsible for any damage caused by their actions during the safari.
7. Safari Itinerary Flexibility: At Kambu Tours, we curate flexible and immersive safari journeys.
However, adjustments may occur due to:
-Weather conditions
-Wildlife movement patterns
-Road conditions
-Lodge availability,
-Government or park authority decisions
-Operational safety requirements
We reserve the right to adjust routes, timing, accommodation, or activities while maintaining the overall safari experience standard.
No guarantee is made for specific wildlife sightings.
8. Cancellation Policy: All cancellations must be submitted in writing.
Cancellation charges apply as follows:
-60 days or more before travel: Deposit retained
-59 to 30 days before travel: 50 percent of the total cost
-29 to 15 days before travel: 75 percent of the total cost
-14 days or less or no show: 100 percent of the total cost
Non-refundable services such as permits, flights, and pre-booked lodges will be charged in full once confirmed.
9. Cancellation by Kambu Tours: We reserve the right to cancel or modify any safari due to:
-Force majeure events
-Safety concerns
-Supplier failure
-Government restrictions
-Insufficient operational capacity
In such cases, clients will be offered:
A rescheduled safari, or A refund of recoverable amounts after deduction of non-refundable costs
10. Force Majeure: Kambu Tours shall not be held liable for events beyond reasonable control, including but not limited to:
-Natural disasters
-Pandemics or disease outbreaks
-Political unrest or civil disturbance
-Border closures or travel bans
-Airline disruptions
-Industrial strikes
-Wildlife emergencies
In such cases, liability is limited to services actually paid and recoverable from suppliers.
11. Travel Insurance Requirement: Comprehensive travel insurance is strongly recommended and should include:
-Medical emergencies and evacuation
-Trip cancellation and interruption
-Personal injury and liability
-Adventure and safari activity coverage
The Client is responsible for ensuring adequate coverage for all planned activities.
12. Liability Limitation: Kambu Tours acts as a safari organizer and intermediary for independent suppliers.
We are not liable for:
-Acts or omissions of third-party suppliers
-Injuries, losses, or delays beyond our control
-Wildlife behavior or natural environmental risks
-Indirect or consequential losses
Total liability shall not exceed the amount paid for the affected safari service.
13. Accommodation and Transport: All accommodation and transport are subject to availability and supplier conditions.
We may substitute services with alternatives of equal or higher standard when necessary.
Clients must follow safety rules at all times while in safari vehicles, lodges, and parks.
14. Wildlife Activities and Safety: Safari experiences involve inherent risks.
Clients must:
-Maintain a safe distance from wildlife
-Follow the guide instructions without exception
-Use the provided safety equipment where applicable
-Participation in safari activities is at the Client’s own risk.
15. Complaints Procedure: Any concerns should be raised immediately during the safari to allow prompt resolution.
Written complaints must be submitted within 14 days after completion of the safari.
16. Media and Marketing: Kambu Tours may use safari photos or videos for marketing purposes unless the Client requests otherwise in writing.
Clients retain the right to opt out at any time.
17. Governing Law: These Terms and Conditions are governed by the laws of Uganda and Africa at large. Any disputes shall be subject to the jurisdiction of the courts of law unless otherwise agreed in writing.
18. Acceptance of Terms: By confirming a booking with Kambu Tours, the Client acknowledges that they have read, understood, and agreed to these Terms and Conditions on behalf of all persons included in the booking.
